Automatically Assign Users to Leads in Stack Workflows
Learn how to set up a workflow in Stack that automatically assigns new contacts to specific users in a round-robin fashion and notifies them about their new leads.
Step 1: Create a New Workflow
- Navigate to Automations > Workflows.
- Click the Create Workflow button.
- Choose the Start from Scratch option.
Step 2: Add a Trigger
- Define a trigger based on your lead source.
- For simplicity, use Contact Created as the trigger. This will activate the workflow every time a new contact is created.
Step 3: Assign Users
- Add the workflow action Assign to User. This action allows you to distribute new contacts to users in a round-robin manner.
- Customize Distribution: Select users from the sub-location to include in the round-robin. To ensure even distribution, keep the Split Traffic field set to Equally.
Step 4: Notify Assigned Users
- Add the workflow action Internal Notification. This action notifies assigned users about new leads entering the workflow.
- Choose Notification Channel: Select from in-app notifications, SMS, or email. You can use multiple channels if needed.
- Select User Type: Ensure you select Assigned User to send notifications only to the assigned individual.
Note: Make sure the Internal Notification action follows the Assign to User action in the workflow. This ensures notifications are sent to the correct users.
Step 5: Publish and Save
- Once your workflow is configured with the trigger, assign user action, and notification actions, enable the Publish toggle at the top right of the screen.
- Click Save to activate the workflow.
