Steps to Automate Opportunities
Step 1: Identify Repetitive Tasks
Begin by pinpointing tasks in your sales workflow that are repetitive and time-consuming. Common examples include sending follow-up emails, assigning leads to team members, scheduling appointments, or updating opportunity statuses.
Step 2: Design Automated Workflows
- Navigate to the Automations section in your Stack dashboard.
- Click on Workflows to access the workflow builder.
- Select Create New Workflow to begin crafting your automated workflow.
- Assign a descriptive name to your workflow that clearly reflects its purpose.
Step 3: Choose a Trigger Event
Choose an event that will initiate the workflow. This could be an action taken by a lead, such as filling out a form, clicking a link, or reaching a specific stage in the sales pipeline.
Opportunity Triggers
- Opportunity Status Changed: Trigger workflows when an opportunity's status is updated. Opportunities can be filtered based on any standard or custom fields linked to them.
- Opportunity Created: Initiate workflows when a new opportunity is created, with filtering options available for standard or custom fields.
- Stale Opportunities: Trigger workflows for opportunities with no changes for a specified number of days, using various standard and custom field filters.
- Pipeline Stage Changed: Activate workflows when there's a change in the pipeline stage, with filtering options for multiple opportunity fields.
Step 4: Add Workflow Actions
Incorporate actions into the workflow that will execute automatically when the trigger event and conditions are met. Possible actions include sending emails, assigning tasks, updating opportunity statuses, or scheduling appointments.
Available Actions
- Create or Update Opportunity: Modify opportunity fields such as Pipeline, Pipeline Stage, Opportunity Name, Opportunity Source, and Opportunity Status, including the reason for loss.
- Remove Opportunities: Eliminate opportunities from a specific pipeline based on your filters.
- IF/ELSE Conditions: Branch the workflow based on specific conditions. Use opportunity fields to filter the branch if you have an opportunity-based trigger in the workflow.
Step 5: Test and Refine
After creating your automated workflow, test it to ensure it performs as expected. Use test leads or dummy data to trigger the workflow and verify that each action is executed correctly. Gather feedback from team members to identify areas for improvement and make necessary adjustments.
Step 6: Activate the Workflow
Once you're satisfied with the workflow's performance, activate it to start automating your sales processes. Stack will automatically trigger the workflow whenever the specified conditions are met, ensuring that repetitive tasks are handled efficiently and consistently.
