Two-Way Email Sync for Outlook

Two-Way Email Sync is a powerful feature that keeps your emails synchronized between Stack and your Outlook email client. This means any email you send, receive, or update in one platform will automatically reflect in the other, ensuring you have access to all your important communications in both places.

How to Connect Outlook Two-Way Email Sync

To set up Two-Way Email Sync with Outlook in Stack, follow these steps:

  1. Navigate to Settings and select the My Profile tab.
  2. Scroll down to find the Email (2-way sync) section.
  3. Choose Outlook as your email provider and click on Connect.
  4. Enter your Outlook email credentials to complete the authorization.
  5. Approve the permissions requested for LeadConnector.
  6. Once connected, your email's connection status will be visible in the Email (2-way sync) section.

How Two-Way Sync Works

Once you've connected your Outlook account with Stack:

  • Email Initiation: Emails sent from Stack will be synced with Outlook, and vice versa.
  • Incoming Emails: New emails from existing CRM contacts received in Outlook will sync automatically with Stack, including all messages in the thread.
  • New Contacts: If you send an email from Outlook to a new contact not yet in Stack, use the BCC address provided by Stack to automatically create a new contact and sync the email thread.

Note: Emails from contacts who are also sub-account users won't sync due to potential confidentiality. Ensure 'Outlook 2-way Sync' is enabled in Labs for full functionality. If disabled, only CRM-initiated emails will sync, and Auto BCC won't create new contacts.

Attachment Support

Attachments up to 3 MB are supported in this sync. Larger attachments will prevent the message from syncing. Supported file types include: JPG, JPEG, PNG, MP4, MPEG, ZIP, RAR, PDF, DOC, DOCX, and TXT.

Additional Features

  • Update Email: Change your connected email ID without disconnecting the previous one. New emails from Stack will sync with the new email address, while previous threads will stop syncing.
  • Disconnect Email: This stops the sync between Stack and your email. Once disconnected, emails will no longer sync.

Compatibility with Email Types

  • Individual Emails: The connected Outlook email ID is used as the sender domain for individual emails.
  • Bulk Emails: If you specify your email ID in the "From Field" after setting up sync, it will be the sender domain. If left blank, the sub-account level provider is used.
  • Workflow & Automation: These emails are sent from sub-account level providers and do not sync with your inbox.

By setting up Two-Way Email Sync, you can ensure seamless communication and keep all your important emails at your fingertips in both Stack and Outlook.
