Smart Lists in Stack offer a dynamic and customizable way to manage your contacts. These lists automatically update in real-time based on specific conditions you set, such as custom fields. This feature is particularly useful for campaigns, as it can include contacts added between the scheduling and sending of an email campaign, ensuring your list is always current and effective.

What are Smart Lists?

Smart Lists are dynamic contact lists that update automatically based on criteria you define. Unlike static lists, Smart Lists adapt to changes, allowing you to segment and organize your contacts efficiently. For example, if you create a Smart List for an email campaign, it will automatically include new contacts that meet your specified criteria, ensuring your list is always up-to-date.

Usage Cases

  • Marketing Campaign Segmentation: Target specific audiences by creating lists based on criteria like recent purchases. For instance, create a Smart List of customers who bought from you in the last six months to target with a new product launch.

How to Use Smart Lists

Setting Up a Smart List

  1. Navigate to Contacts > Contacts/Smart Lists.
  2. Click More Filters.
  3. Choose one or more filters from the dropdown.
  4. Enter the necessary details and click Apply.
  5. To add more filters, use the AND option.
  6. Click Save as smart list to save your filters.

Accessing, Adjusting, and Cloning Smart Lists

  • To access a Smart List, go to the Contacts section and select a list by name.
  • To modify a Smart List, open it and adjust the filters on the right-hand side.
  • Use the pencil icon to edit or the trash can icon to remove filters. Save changes with the Save icon.
  • Manage your lists by selecting Manage Smart Lists at the top right of the Contacts page, where you can duplicate, rename, or delete a list.

How to Filter by Custom Fields

Create a list of contacts not contacted in the last 90 days:

  1. Go to Smart List > All Tab.
  2. Click More Filters.
  3. Type 'last' in the filter box to find the Last Activity filter.
  4. Select Last Activity, choose More Than, and enter 90 days.
  5. Select the Last Activity column from the dropdown.
  6. Click the + icon to name and save the list.

Q: How do I add pre-existing contacts to an already-made Smart List?
A: Contacts are automatically added to a Smart List if they meet the set filter conditions. For example, a contact tagged as "client" will be added if the Smart List includes all contacts with the "client" tag.

Q: Can I manually add existing contacts to an existing Smart List?
A: No, Smart Lists automatically include contacts based on the filters you set. Adding a matching tag to a contact will include them in the list.

Q: How can I create a Smart List in Contacts when the filter says "Pipeline" instead of "Filter"?
A: Smart Lists are saved filters. If you encounter "Pipeline" instead of "Filter," try refreshing the page and setting new filters.
