Creating Collective Booking Calendars in Stack

Collective Booking Calendars in Stack allow multiple team members to collaborate on appointments seamlessly. This guide will walk you through setting up and managing these calendars effectively.

Setting Up a Collective Booking Calendar

  1. Access Calendar Settings

    • Navigate to Calendars and select Calendar Settings.
  2. Create a New Calendar

    • Click on Create Calendar.
    • Choose Collective Booking.
  3. Enter Calendar Details

    • Calendar Name: Provide a name for your calendar.
    • Select Team Members: Choose at least two team members to participate in this calendar.
    • Custom URL: Set a unique URL for easy access.
    • Meeting Location: Although optional, it is recommended to specify a meeting location. If left blank, the primary owner's custom meeting location will be used by default.
  4. Finalize Creation

    • Click Confirm to create your Collective Calendar.
  5. Customize Calendar Settings

    • For advanced customization, click on Go to advanced settings during creation, or edit the calendar later by selecting Edit Calendar.

Managing Calendar Owners

Setting the Primary Owner

The primary owner is the team member who leads the appointment. They are also the appointment owner, and if contact assignment is enabled, contacts will be assigned to them.

  • By default, the first team member added becomes the primary owner.
  • The primary owner cannot be removed from the calendar.

Changing the Primary Owner

  1. Go to Advanced Settings or Edit Calendar.
  2. Navigate to Meeting Details.
  3. Click Make owner next to the desired team member's name.
  4. The new primary owner will be indicated with an "Owner" label.

Note: Ensure the primary owner is not the team member you wish to remove from the calendar.

Notification System

  • Only the assigned user will receive email notifications.
  • All team members will receive calendar invite notifications through their integrated third-party calendars (Google, Outlook, iCloud).

Handling Payments

If payments are enabled for the Collective Booking Calendar, users must complete payment before their appointment is confirmed. This ensures a smooth booking process and secures the appointment slot.
