Setting Up Linked Calendars & Conflict Calendars in Stack
Overview
In Stack, you can synchronize appointments from Team/Group calendars—such as Round Robin, Service, Class, and Collective Calendars—with third-party calendars like Google, Outlook, and iCloud. This integration allows you to manage your schedule seamlessly by syncing events across platforms.
Calendar Configuration
To set up your calendar, navigate to Calendars > Calendar Settings > Connections. Here, you'll find two main settings: Linked Calendar and Conflict Calendars. All third-party calendar integrations you've added will be displayed in this section.
Linked Calendar
When you create new events in Stack, they will automatically sync with your linked calendar. This means any event you create will appear on your third-party calendar, such as Google, Outlook, or iCloud. The Linked Calendar feature ensures that events are both pushed to and fetched from these external calendars.
Note: Writer's access is required to select a calendar as a linked calendar. By default, your linked calendar is also added to the conflict calendar, ensuring all events are synchronized both ways.
Sync Preferences (Advanced Settings)
Default Sync (One-way Sync)
- Events created in Stack will sync to your Linked Calendar.
- Events from your Linked Calendar will sync to Stack as blocked slots.
- No contacts are created for guests in the Linked Calendar events.
- Automations or workflows are not triggered.
Two-way Sync
- Events created in Stack will sync to your Linked Calendar.
- Events from your Linked Calendar will sync to Stack as appointments.
- Contacts are created for guests in Linked Calendar events.
- Automations and workflows can be triggered, just like any other appointment in Stack.
Example:
If John creates a Google event from 1:00 pm to 2:00 pm titled 'Doctor's Appointment with Dr. Mark', and adds Dr. Mark as a guest:
- Default Sync (One-way Sync): A blocked time from 1:00 pm to 2:00 pm is added in Stack, preventing bookings during that time.
- Two-way Sync: An appointment is created in Stack from 1:00 pm to 2:00 pm, a new contact for Dr. Mark is added, and any related workflows are triggered.
Conflict Calendar
Conflict Calendars in Stack help manage your availability by syncing events from third-party calendars and blocking your schedule during those times. Events marked as 'BUSY' will block your availability, while 'FREE' events will not affect your schedule. This feature ensures you avoid double bookings by checking multiple calendars for conflicts.
