Configuring Recurring Calendar Appointments in Stack

Recurring appointments are a convenient way to schedule regular meetings or events without the need to create each one individually. Whether it's a daily check-in, a weekly meeting, or a monthly review, setting up recurring appointments can save you time and effort.

How to Set Up a Recurring Appointments Calendar

To create a recurring appointments calendar in Stack, follow these steps:

  1. Navigate to Settings: Start by clicking on the Settings tab.

  2. Access Calendars: Select Calendars from the menu.

  3. Create a New Calendar: Click on Create Calendar.

  4. Choose Booking Type: Click on Select under Round Robin Booking.

    Note: All calendar types support recurring appointments. For Round Robin booking, ensure there is a maximum of one user or team member assigned.

  5. Enable Recurring Appointments: In the Availability tab, toggle on Recurring Appointments. This will reveal additional settings for configuring your recurring appointments based on your needs.

    Note: Events can be set to repeat a maximum of 24 times.

Handling Unavailable Slots

When setting up your recurring appointments, you have three options if a slot is unavailable:

  • Continue Booking: Allows double-booking of the slot.

  • Skip Booking Unavailable Slot: Books only available slots and ignores the rest.

  • Book Next Available Slot: Books the appointments as far into the future as necessary to find available slots.

    Note: The system checks up to the next three slots for availability. If none are available, the booking is dropped. Be mindful when selecting your option (continue, skip, or book next).

Recurring appointments can only be booked for standard slots. Custom slots do not support recurring bookings. Additionally, recurring appointments cannot be booked from the opportunities page.

Frequently Asked Questions

Will existing workflow triggers activate for recurring appointments?

No, existing workflow triggers will not automatically activate for recurring appointments. New filters have been added to the Appointment Trigger steps, allowing you to specify triggers for recurring appointments. You can choose from the following event types:

  • Event Type: Normal - Triggers for non-recurring appointments.
  • Event Type: Recurring - Triggers only for recurring appointments.
  • Event Type: Any - Triggers for any appointment type.

Can users bulk update recurring appointments?

No, users cannot bulk update recurring appointments, such as canceling or rescheduling them.

Can the same meeting location be used for all recurring appointments?

For meeting locations like Zoom or Google Meet, each recurring appointment will have a unique meeting URL. The system generates a new URL for each meeting by default.

How do recurring events sync with integrated calendars?

When sync is enabled, recurring events are synced as individual events with third-party calendars.

How can payments be charged for recurring appointments?

Currently, payments are not available for calendars with recurring appointments enabled.
